Here’s how to protect your members’ investment while saving time and money for your organization.

The unexpected happens every day, and we must roll with it. But, when something hits at a time that matters most – say before or during your association’s event or conference – that’s when it really hurts. 

What if we had the ability to protect ourselves when unfortunate things happen?

Many times, we do. For example, when you’re planning a vacation or booking a flight, there are typically options for you to insure your trip. Why should offering your members and other event attendees protection for your events and conferences be any different? 

Think about it: When a member decides to attend your event, they’re making a significant investment. Often, they are taking time away from their families and jobs, and spending their own money to attend the conference. At the same time, as we return to in-person events after two-plus years of cancelled events and travel plans during the pandemic, many people are even more aware of the possibility of unexpected issues.   

When members are planning their travel for your events, they’re presented with insurance options for their flight, hotel, and rental car. But, there’s nothing available to protect their investment for the event or conference itself. 

So, how about adding a little more peace of mind for your members as they register? And how about putting more money in your organization’s pocket? 

Protecting your association event attendees’ investment

YourMembership has partnered with Allianz Global Assistance, a worldwide leader in travel insurance and assistance services, to allow YourMembership association management software (AMS) customers to offer insurance protection on event ticket purchases for attendees. This free add-on lets YourMembership AMS customers offer their attendees up to 100 percent reimbursement on their event ticket purchase should a traffic accident, airline delay, covered medical issue, or other covered reason result in the attendee missing the event.  

Any event that has registration and tickets available can be eligible to offer ticket protection, as long as it meets minimum ticket price requirements. Ticket protection can be easily enabled for each event within the “Registration” section of the event wizard in YourMembership AMS. When this feature is enabled, the event registrant is presented with the option of electing to add the protection as part of the registration process. 

A value-add for your association

Not only does the event ticket protection directly benefit your members and attendees, it’s also a value-add to your organization and the events and conferences you run. When an attendee has opted into the ticket protection, Allianz can handle 100 percent of the

cancellation/refund claims – saving your staff time and hassle.   

Just ask your event planners and coordinators if they’d like to eliminate dealing with last-minute cancellations and refunds. Although, you probably already know the answer! 

Now for the best part: When an attendee purchases event ticket protection and a claim is filed, your organization keeps the total amount of the original ticket purchase. Allianz can handle all claims and refunds, so you can keep the original revenue received after the registrant cancels, and there’s no need to re-run revenue reports for the event after cancellations are processed.
